Soho Housing is committed to protecting your privacy and complying with the General Data Protection Regulations 2018.

This notice explains how we collect, use and store your data during a recruitment process.  It also explains your rights in respect of any personal data we obtain from you.


How we collect your personal data

We collect personal information about you when you apply for a vacancy that we are recruiting to within our organisation. The information is provided to us on your CV, and we have a legitimate interest in processing this data as part of the recruitment process - we would not be able to consider you for a role or contact you about the outcome of your application without this vital information.


How we will use the information we collect about you

The personal data you provide will be used to assess your suitability for the role(s) you have applied for.  Information such as your name, telephone number and email address will only be used to contact you with the outcome of your application.  Details about your career history, knowledge, skills and experience will be used to consider how well you are suited to the role(s).

Sensitive information provided on your monitoring form e.g. gender, ethnicity, religion etc., is used by Soho Housing to assess our effectiveness in reaching a diverse range of candidates, and helps us put measures in place to improve our efficacy in expanding our reach.

Your personal data and sensitive information will not be used for any other purpose.


How we will store the information we collect about you

Your personal data will be stored electronically on our password protected database.  This is only accessible by staff at Soho Housing who are dealing with the recruitment campaign(s).


How long we will keep our personal data

We will keep your personal data throughout the life span of the recruitment campaign, for the reasons stated above, and for six months after the recruitment advert closing date, at which time it will be destroyed.  This means that your personal data will be removed from our database and any hardcopy documentation will be treated as confidential waste.

If you are appointed to the role (the successful candidate), your personal data will not be destroyed six months after the recruitment advert closing date.  It will be transferred to our employee records and form the basis of your personal HR file within the organisation.


Access to your information and correction

You have the right to request a copy of the information that we hold about you.  If you would like a copy of your personal information please contact us

We will respond to your request within the GDPR timeframe of 30 days.

We want to make sure that your personal information is accurate and up to date.  Please let us know if the personal data we hold about you needs to be updated, or if you want it to be removed from our records.
